PRIVACY POLICY

Effective Date: August 26, 2026

1. Who We Are and Scope of This Policy

This Privacy Policy explains how Tanya Dantus, LMFT, SEP (“Tanya Dantus,” “we,” “us,” or “our”) collects, uses, stores, and shares personal information through this website and related services.

This policy applies to information collected through our website, contact forms, scheduling tools, newsletters, educational programs, trainings, consultations, purchases, and other business interactions.

If you become a psychotherapy client, information created or maintained as part of your clinical care may also be protected by HIPAA, state mental-health confidentiality laws, professional licensing requirements, and other applicable laws. Our practices regarding protected health information are described separately in our Notice of Privacy Practices and psychotherapy informed-consent materials.

2. Information We Collect

Depending on how you interact with us, we may collect the following categories of information:

Contact and inquiry information, such as your name, email address, telephone number, and information you choose to include in an inquiry.

Scheduling information, such as your name, contact information, appointment information, time zone, service requested, and other information needed to arrange an appointment or consultation.

Service information, including information you provide in connection with psychotherapy, consultation, coaching, trainings, groups, workshops, or other services. Psychotherapy records and protected health information are subject to additional privacy protections described in our Notice of Privacy Practices.

Payment and transaction information, including information necessary to process payments, issue refunds, maintain accounting records, and document services purchased. Payment-card information is generally processed directly by third-party payment providers rather than stored by us.

Newsletter and marketing information, such as your name, email address, subscription preferences, and engagement with communications where that information is available.

Technical and website-use information, which may include your IP address, browser and device information, pages visited, referring pages, approximate location, cookie identifiers, and interactions with the website.

We may also receive limited information from third parties that provide services on our behalf, such as scheduling, payment, email, forms, analytics, or videoconferencing providers.

3. How We Use Personal Information

We may use personal information to:

  • Respond to inquiries and consultation requests
  • Schedule and provide services
  • Communicate about appointments, programs, trainings, purchases, or administrative matters
  • Process payments and maintain financial and business records
  • Provide psychotherapy, consultation, education, coaching, and other requested services
  • Send newsletters or marketing communications when you have opted in or another lawful basis applies
  • Operate, secure, troubleshoot, and improve the website
  • Understand website usage and measure marketing effectiveness where permitted
  • Comply with legal, regulatory, licensing, professional, insurance, tax, accounting, and recordkeeping obligations
  • Establish, exercise, or defend legal claims
  • Protect the safety or vital interests of individuals where appropriate

For individuals whose information is subject to the GDPR or UK GDPR, our legal basis for processing depends on the purpose and circumstances and may include:

  • Performance of a contract or taking steps at your request before entering into a contract
  • Compliance with a legal obligation
  • Legitimate interests in operating and administering our practice and services
  • Your consent
  • Another lawful basis provided by applicable law

Health information and certain other information may constitute specially protected personal information under applicable law. Such information is processed only where an additional lawful basis or exception applies.

4. Psychotherapy and Health Information

Psychotherapy and clinical information are treated differently from ordinary website, marketing, and general business information.

We do not sell psychotherapy records or protected health information.

We do not use information contained in psychotherapy records, clinical intake materials, or confidential psychotherapy communications for targeted advertising.

Please avoid including detailed medical, mental-health, or other highly sensitive information in a general website inquiry unless necessary. General contact forms are intended primarily for inquiries, scheduling, and administrative communication.

When a third-party provider creates, receives, maintains, or transmits protected health information on our behalf, we use appropriate privacy and contractual safeguards, including Business Associate Agreements when required by HIPAA.

5. Service Providers and Other Recipients

We may use third-party service providers to help us operate our practice and website. Depending on the services you use, these providers may include:

  • Website hosting and scheduling providers, including Squarespace and Acuity Scheduling
  • Email, forms, document, and productivity providers, including Google services
  • Videoconferencing providers, including Zoom
  • Payment providers, including IvyPay, Zelle, and other payment processors used for particular transactions
  • Newsletter and email-distribution services
  • Analytics and advertising providers, including Google services and similar technologies where enabled
  • Professional advisers, including accountants, attorneys, consultants, insurers, and other professional service providers

We disclose personal information to service providers only as reasonably necessary for them to perform the relevant services.

We may also disclose information where required or permitted by law, in response to valid legal process, to protect vital interests or safety, or when reasonably necessary to establish, exercise, or defend legal rights.

6. Cookies, Analytics, and Advertising Technologies

Our website may use strictly necessary cookies as well as optional analytics, functionality, and advertising technologies.

Strictly necessary technologies may be used without consent where permitted by law because they are required for the website to function.

Where consent is legally required, optional cookies and tracking technologies will be used only after the required consent has been obtained. You may be able to accept, reject, or manage optional cookies using controls provided on the website.

Analytics technologies may help us understand how visitors use the website and improve its performance.

Advertising technologies may help us measure the effectiveness of advertising or, where permitted and consented to, provide relevant advertising.

We do not intentionally provide psychotherapy intake information, clinical information, appointment details, psychotherapy communications, or other protected health information to advertising platforms for advertising purposes.

You may also be able to block or delete cookies through your browser settings, although doing so may affect some website functions.

7. International Transfers

We and some of the service providers we use operate in the United States and other countries. As a result, personal information may be processed in a country other than the country in which it was collected.

Where the GDPR or UK GDPR applies and personal information is transferred internationally, we rely on appropriate transfer safeguards where required by law.

Depending on the recipient and circumstances, these safeguards may include:

  • An applicable adequacy decision
  • The EU-U.S. Data Privacy Framework for participating organizations
  • The UK Extension to the EU-U.S. Data Privacy Framework where applicable
  • European Commission Standard Contractual Clauses
  • The UK International Data Transfer Agreement or UK Addendum
  • Another legally recognized transfer mechanism, safeguard, or applicable exception

We also use reasonable technical and organizational safeguards designed to protect personal information during processing and transfer.

8. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, licensing, professional, accounting, insurance, tax, and recordkeeping obligations.

Psychotherapy records: We use a seven-year default retention period for adult psychotherapy records following termination of services unless a different retention period is required by applicable law or professional obligations.

General inquiries: Information from inquiries that do not result in services may be retained for a reasonable period for follow-up, business administration, risk management, or legal purposes and then deleted when no longer needed.

Financial and transaction records: These may be retained for the period required by applicable accounting, tax, financial, and business-recordkeeping laws.

Training, consultation, coaching, workshop, and other service records: These are retained for a reasonable period based on the nature of the service and applicable business, professional, insurance, tax, and legal requirements.

Newsletter and marketing information: Subscription information is generally retained until you unsubscribe or the mailing list is discontinued. We may retain limited information necessary to document your unsubscribe request and prevent unwanted future communications.

Information may be retained longer where reasonably necessary to comply with law, respond to a dispute, protect safety, or establish or defend legal claims.

9. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, misuse, loss, or destruction.

However, no method of electronic transmission or storage can be guaranteed to be completely secure. We therefore cannot guarantee absolute security.

10. Your Privacy Rights

Depending on where you live and the law applicable to your information, you may have rights that include:

  • Requesting access to personal information we hold about you
  • Requesting correction of inaccurate or incomplete information
  • Requesting deletion of information, subject to applicable record-retention and legal obligations
  • Requesting restriction of certain processing
  • Objecting to certain processing
  • Receiving certain information in a portable format
  • Withdrawing consent where processing is based on consent
  • Opting out of certain marketing communications
  • Filing a complaint with an applicable privacy or data-protection authority

These rights may be subject to exceptions, including obligations to maintain psychotherapy, financial, tax, professional, insurance, or other legally required records.

Where processing is based on consent, withdrawal of consent does not affect the lawfulness of processing that occurred before consent was withdrawn.

European Economic Area

Individuals whose personal information is subject to the GDPR may have the right to lodge a complaint with the applicable data-protection supervisory authority in the European Economic Area.

United Kingdom

Individuals whose information is subject to UK data-protection law may have the right to lodge a complaint with the Information Commissioner’s Office.

Psychotherapy Clients

Psychotherapy clients may have additional rights concerning health and clinical information under HIPAA and applicable state law. Those rights are described in our Notice of Privacy Practices.

11. Providing Information to Us

You are generally free to decide whether to provide personal information to us.

However, some information is necessary for us to enter into or perform a professional relationship with you. For example, we may require contact information, information necessary for scheduling and payment, and certain clinical and emergency information before providing psychotherapy services.

If required information is not provided, we may be unable to provide the requested service.

Providing information for newsletters or marketing communications is optional.

12. Automated Decision-Making

We do not use solely automated decision-making that produces legal effects or similarly significant effects concerning you.

13. Marketing Communications

We send newsletters and promotional communications only where we have an appropriate legal basis to do so.

You may unsubscribe from marketing email at any time using the unsubscribe link included in the communication or by contacting us.

Unsubscribing from marketing communications does not prevent us from sending necessary administrative, transactional, scheduling, or service-related communications.

14. Sale and Use of Personal Information for Advertising

We do not sell personal information for monetary compensation.

We do not sell psychotherapy or health information, and we do not use clinical information for targeted advertising.

Certain privacy laws may characterize some online advertising or analytics activities as “sharing,” “targeted advertising,” or similar regulated activity even where no money changes hands. Where applicable, we provide legally required consent mechanisms or choices.

15. Third-Party Websites and Services

Our website may contain links to websites, applications, or services operated by third parties.

We do not control the privacy or security practices of those third parties. Information you provide directly to a third party is governed by that party’s privacy practices and terms.

16. Adults Only

Our psychotherapy services are provided to adults.

We do not knowingly solicit psychotherapy clients under age 18 or intentionally collect clinical information from minors through this website.

17. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our services, technology, legal obligations, or privacy practices.

The current version will be posted on this website with an updated effective date.

Material changes may also be communicated by other appropriate means when required.
